# Manage Multiple Social Media Accounts From One Calendar

> Manage multiple social media accounts from one calendar: a workspace per brand, account groups, per-account previews and approvals so posts never go to the wrong profile.

Keep every brand, client and profile in order with workspaces, account groups, one calendar and an approval step before anything goes live.

## How to manage multiple social media accounts
The simplest way to manage multiple social media accounts is to stop logging in and out of each app. Connect every account to one scheduler, plan posts in a single queue and calendar, and let it publish to each account at the time you choose. The part that takes thought is organizing them: which brand owns which accounts, how you pick the right ones for each post, and what stops a post from landing on the wrong profile.

Schedule For You handles that with three layers: a **workspace** for each brand or client, **account groups** for the profiles you usually post to together, and **labels** to sort posts by campaign. The rest of this page walks through a practical workflow.

## The manual way: switching accounts in each app
Most apps let you add a few accounts and switch between them. Instagram and TikTok have an account switcher on the profile screen, X lets you add several accounts to one login, and Meta Business Suite covers the Facebook Pages and Instagram accounts you manage. For two or three accounts on one platform, that's enough.

It gets harder when the accounts span platforms and brands. Each app has its own switcher, its own drafts and its own schedule, so there's no single view of what's going out this week, and the account you posted from last is the one the app opens next time.

## Where it breaks down: three brands, eleven accounts
Picture a freelancer managing a bakery, a dental clinic and their own consultancy. That's 11 accounts: Instagram, Facebook and Google Business Profile for the bakery; Facebook, Instagram, Google Business Profile and LinkedIn for the clinic; and LinkedIn, X, Bluesky and Threads for themselves.

On Monday they plan the week. The bakery's Thursday special needs to reach three accounts, the clinic's holiday hours need four, and their own article goes to four more. Working in each app means 11 logins, no shared calendar, and one real risk: the bakery's croissant photo going out on the clinic's Instagram because that was the account still selected in the app. It also means the clinic manager can't see what's planned without asking.

## Switching apps, native tools or one scheduler
| | Each app's account switcher | Meta Business Suite | One scheduler (Schedule For You) |
|---|---|---|---|
| Platforms | One per app | Facebook and Instagram | 10 platforms |
| Several accounts per platform | Yes, a few | Yes, for Pages and linked Instagram accounts | Yes, up to 15 or 100 accounts per workspace |
| Separation between brands | None beyond the switcher | By business portfolio | A workspace per brand or client |
| One calendar for everything | No | Facebook and Instagram only | Yes |
| Approval before publishing | No | Limited | Approvals and client preview links |
| Cost | Free | Free | From $19 a month |

If you manage a couple of Facebook Pages and their Instagram accounts, Business Suite is free and does the job. Once you're across several platforms or several clients, one scheduler saves the switching and gives you the guardrails below.

## A practical workflow in Schedule For You
### 1. Decide how to separate brands
Use a **separate workspace for each client** whose posts must never mix with anyone else's, or who should be billed on their own. A workspace has its own connected accounts, posts, queue, calendar and plan, so a post written in the bakery's workspace can't reach the clinic's profiles. Switch between workspaces from the menu at the top left.

Keep brands that you run yourself, or that share a budget, in **one workspace** and organize them with account groups and labels. In the example above, the freelancer might keep their own accounts and the bakery together and give the clinic its own workspace.

### 2. Connect the accounts
Add each profile from the Accounts screen. You can connect several accounts on the same platform, and the screen shows each one's status and how many posts are queued for it. For Instagram, you sign in through Meta and choose which Business or Creator accounts to add; our guide to [connecting multiple Instagram accounts](https://scheduleforyou.com/blog/connect-multiple-instagram-accounts) covers the details.

### 3. Save account groups
In the composer, select the accounts you usually post to together and choose **Save as group**, for example "Bakery" for its Instagram, Facebook and Google Business Profile. Next time, one click on the group selects exactly those accounts, which is much harder to get wrong than ticking boxes from a long list. A search box finds a single account by name.

### 4. Choose accounts and check each preview
When you write a post, select a group or individual accounts. Each platform gets its own tab for its version of the caption, and the preview shows the post under the actual account name and handle, so you can confirm it's going to the right profile before you schedule. Rules are checked for every selected account: an Instagram account without an image or video, for instance, is flagged before the post can be scheduled.

### 5. Set time slots for each audience
Each workspace has its own posting slots. A bakery might post at breakfast and lunch while a B2B client posts mid-morning on weekdays. **Add to queue** drops a post into the next open slot, and bulk scheduling fills the slots in order.

### 6. Add a review step
- **Approvals:** mark a post as needing approval and it waits on the queue's Needs approval tab until someone signs it off.
- **Client preview links:** send the client a link to the post. They can approve it, request changes or comment without an account, and the post's author gets an email.
- **Shared calendar:** give a client a read-only link to the upcoming schedule, which also works as a calendar feed in Google Calendar, Apple Calendar or Outlook.

### 7. Watch for problems before they cost a post
If a platform revokes access or a token is about to expire, the account shows **Reconnect needed** or **Expires soon**, and the workspace owner gets an email naming the scheduled posts that would fail. Failed posts appear on the Queue screen with the reason and a Retry button that resends only the accounts that failed.

## Working with a team
On the Studio plan you can invite teammates to a workspace. Owners manage billing and settings, editors can also change automations such as webhooks and RSS feeds, and members create, schedule and publish posts. Writers, designers and account managers work from the same queue instead of passing drafts around in chat, and the calendar can be filtered by account, platform or status.

## How many accounts you can manage
Solo connects up to 15 accounts and Studio up to 100 per workspace, across X, Bluesky, Instagram, LinkedIn, Threads, TikTok, YouTube, Facebook Pages, Pinterest and Google Business Profile. Every profile, Page or channel counts as one account, and both plans include unlimited posts; see [pricing](https://scheduleforyou.com/pricing) for details. LinkedIn accounts are personal profiles; company pages aren't supported.

To fill several calendars quickly, bulk-schedule from a folder of media or a CSV, or set up repeating and evergreen posts for content that stays relevant. The guide to [planning content in advance](https://scheduleforyou.com/blog/plan-content-in-advance) has more on batching.

## Frequently asked questions
### How do you manage multiple social media accounts at once?
Connect them to one scheduler, write each post once and select every account it should go to. Schedule For You publishes to each account at the scheduled time, with a separately editable version for each platform.

### How do I stop a post going to the wrong account?
Separate clients into their own workspaces, save account groups for the profiles you post to together, and check the per-account preview before scheduling. Approvals and client preview links add a second pair of eyes.

### Can I connect several accounts on the same platform?
Yes. A workspace can hold several accounts per platform, such as multiple Instagram accounts or Facebook Pages, and you choose which ones each post targets. To learn more, see how to [post to multiple Instagram accounts](https://scheduleforyou.com/post-to-multiple-instagram-accounts).

### How many social media accounts can I manage?
Solo includes up to 15 connected accounts and Studio up to 100, per workspace. Every profile, Page or channel you connect counts as one account.

### How do agencies keep client accounts separate?
Use one workspace per client. Each workspace has its own connected accounts, queue, calendar and plan, so posts stay with the right brand and each client can be billed on its own subscription.

### Can my team and clients help with posts?
Team members are available on the Studio plan. Clients don't need an account at all: send a preview link and they can approve, request changes or comment on the post.

### Can I post the same content to all my accounts?
Yes. Select every account when you write the post and Schedule For You sends it to all of them, with a version for each platform you can tailor. Read more about our [cross-posting tool](https://scheduleforyou.com/cross-posting).
